1. Who We Are
Pixel Looms ("Pixel Looms," "we," "us," or "our") is a digital solutions firm providing web design, software development, branding, and digital marketing services, primarily to businesses in the United States and Canada, with select engagements across Europe. This Privacy Policy explains what information we collect through pixellooms.com (the "Site"), how we use it, and the choices you have.
This policy applies only to pixellooms.com. It does not apply to third-party sites we link to, or to work we build for clients on their own domains.
2. Information We Collect
Information you give us directly, when you fill out a form on the Site (such as our strategy call request form), we collect what you enter, which may include:
- Full name and business name
- Email address and phone number
- The service(s) you're interested in and estimated budget range
- Your current website (if any)
- Details about your project, goals, or challenges that you choose to share
Information collected automatically, as you browse the Site, certain information is collected passively through cookies and similar tracking technologies, including:
- IP address, approximate location, device and browser type
- Pages viewed, time on site, and referring source
- Interactions with ads (if you arrived via a Meta or LinkedIn ad)
We do not knowingly collect information from children under 18. The Site is intended for business use by adults.
3. Cookies & Tracking Tools
We currently use the following tools on the Site, each of which may set cookies or collect data on our behalf:
- Google Analytics / Google Tag Manager — site traffic and usage analytics
- Meta Pixel and LinkedIn Insight Tag — measuring ad performance and building retargeting audiences
- Calendly/Google Meet — booking strategy calls (Calendly has its own privacy policy governing data you submit there)
- WhatsApp Business — if you message us via WhatsApp, that conversation is subject to WhatsApp's own privacy terms
- Web3Forms — used to securely deliver form submissions to our team
- Email marketing platform (Klaviyo, Mailchimp, or HubSpot, confirm which is actually in use) — if you opt in to receive updates or a newsletter
You can control cookies through your browser settings. Disabling cookies may affect how parts of the Site function.
4. How We Use Your Information
We use the information we collect to:
- Respond to your inquiry and prepare for a strategy call
- Provide quotes, proposals, and project-related communication
- Send occasional emails about our services or content, only if you've opted in
- Understand how visitors use the Site, so we can improve it
- Detect and prevent fraud, spam, or misuse of the Site
- Meet legal or regulatory obligations
We do not sell your personal information to third parties.
5. Legal Basis for Processing (for EU/UK Visitors)
If you're located in the EU or UK, we rely on the following legal bases under GDPR:
- Consent — for marketing emails and optional cookies
- Contract — to respond to your inquiry or prepare a service proposal
- Legitimate interest — to improve the Site, prevent misuse, and maintain security
You can withdraw consent at any time (see Section 8).
6. How We Share Information
We don't sell personal information. We share it only with:
- Service providers who help us run the Site or deliver our services (listed in Section 3), each bound to use your data only for the purpose we've engaged them for
- Legal authorities, if required by law, such as a court order or subpoena, we'll notify you where legally permitted
- A successor entity, if Pixel Looms is ever acquired, merged, or restructured, your information may transfer as part of that transaction, subject to this policy or a comparable one
7. International Data Transfers
Pixel Looms team operates from Pakistan & Malaysia, and the tools listed in Section 3 may store or process data in the United States, the European Union, or elsewhere. If you're located in the EU, UK, or Canada, your information may be transferred to and processed in a country that does not have the same data protection laws as your own. Where required, we rely on the safeguards our service providers offer (such as Standard Contractual Clauses) to protect your information during these transfers.
8. Data Retention
We keep personal information only as long as reasonably necessary:
- Contact form submissions: up to 24 months, or until the related project inquiry is resolved, whichever is longer
- Analytics data: per each tool's default retention (commonly 14–26 months)
- Marketing email subscribers: until you unsubscribe or request deletion
9. Your Rights
Depending on where you're located, you may have some or all of the following rights:
All visitors:
- Ask what personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information
- Withdraw consent for marketing communications at any time (use the unsubscribe link, or email us)
California residents (CCPA/CPRA): You may request disclosure of the categories of personal information we've collected, request deletion, and opt out of any "sale" or "sharing" of personal information. We do not sell personal information, but California law requires us to state this regardless.
Canadian residents (PIPEDA): You have the right to access personal information we hold about you and to challenge its accuracy. You may also file a complaint with the Office of the Privacy Commissioner of Canada if you believe we've mishandled your information.
EU/UK residents (GDPR): In addition to the rights above, you have the right to data portability and the right to lodge a complaint with your local data protection supervisory authority.
To exercise any of these rights, contact us using the details in Section 12. We'll respond within 30 days.
10. Security
We use reasonable administrative and technical safeguards to protect the information we collect. No method of transmission or storage is 100% secure, and we can't guarantee absolute security. Please avoid sending highly sensitive information (like payment card numbers) through our contact forms.
11. Changes to This Policy
We may update this Privacy Policy periodically. Changes take effect once posted here, with the "Last updated" date revised. Continued use of the Site after a change means you accept the updated policy.
